# Voicemail: your smart answering machine

sipgate voicemail is nothing other than a free intelligent answering machine for your sipgate phone line. If you cannot answer a call right now, voicemail comes into play. You have the option of recording a custom announcement or using a standard announcement. This gives callers the opportunity to leave a message during the periods set by users. This message is saved as an audio and text file and sent to the users by email.

Here you will find an overview of sipgate voicemail features:

* Call answering when the phone is offline and/or unreachable
* Call answering for specific time periods and phone numbers
* Recording duration of incoming calls of up to two minutes
* Announcement with or without recording
* Announcement duration is a maximum of 180 seconds (Click2Record)
* Can be listened to free of charge from any sipgate line
* Remote retrieval is possible from any telephone
* Recording personal announcements by phone or via MP3 upload
* Free notification by email with optional file attachment of the message in MP3 and/or text format
* Notification of incoming calls by email, SMS or fax

Create voice announcements for users and groups

As a user, you can decide for yourself whether you want the standard announcement to play for incoming calls when you are absent, or whether you want to set up a custom voice announcement instead. If you decide on your own announcement, you can either record it directly in the account (Click2Record) or upload an MP3 file. To do this, click under **Telephony** on your **voicemail** — you can find these at the top under your **devices**:

The announcements in **Groups** you can only change as an admin. First click in the left menu on **Groups** and select the desired group.

Then click the button **Voicemail from "group name".** Here you can set the desired announcement via a dropdown menu.

All users have the option to configure in their personal routing under which conditions voicemail should be activated. To do this, go to the rights section of your routing and set the corresponding routing rules.

**This is how you are notified of incoming voicemails:**

You can receive notifications about incoming voicemails by email or SMS. You can also specify whether individual users or an entire group should be informed. Click under **Telephony** click on the corresponding **voicemail** and then on **email notifications.**

For additional notifications and filters, click on **Notifications.** Under **Create new filter** you can enter which event—during a call, voicemail or SMS—you want to be notified about.

One step further, you set how you are notified for the selected event. Either set up the email notifications or select SMS notification. In both cases, you must enter in the drop-down menu where the notification should be sent.

**Listen to voicemails:**

**sipgate voicemail gives you the option of retrieving the messages left from any telephone, even outside your account. To do this, you need a PIN, which you can easily set for one or more voicemails.**

* With one click on the voicemail entry in the **event list** the menu with detailed information about your received messages expands.
* Here you can listen to the messages, download them or call the callers back. You will also find the transcript of the message left here as well as the option to add the callers to your contacts.

**Free retrieval via your sipgate phone:**

To listen to your personal voicemail, call the free number 55000. Each group voicemail also has its own number (e.g. 55004) for retrieval. You can find all information by clicking on the corresponding **voicemail** under **Devices**.

**You can control voicemail with the following commands:**

* Press the **3**key **to listen to**
* Press the **4**key **to delete**
* Press the **\*** key, to **go back to the main menu** to get there

**The PIN:**

* Click on **Telephony**
* the corresponding voicemail
* **Under PIN** click the gear icon to enter your personal PIN
* You also have the option of specifying phone numbers that can be used to retrieve messages without a PIN
* To do this, click on **Listen to voicemail without PIN** the gear icon to add phone numbers.

The **sipgate Voicemail** is a free, intelligent **voicemail** for your **sipgate phone line**. If you cannot answer a call right now, voicemail takes over. You can **custom greeting** record a **standard announcement** use.

**Callers** have the opportunity, during defined periods, to leave a **message**. This is **audio and text file saved** and you **sent by email**.

* **Call answering**, when the phone **is offline** or **not reachable from the outside** is

**Notifications about new voicemails**

Incoming **voicemails** are displayed in the **sipgate app** displayed — including **date**, **time** and **a phone number**. In addition, all **user** a **email notification** activate as soon as a message in their **personal channel** is received.

**Listen to voicemails**

You can listen to voicemails directly in the **sipgate app** listen to. In addition, the app offers:

* Display of all relevant information about the message
* Option to **a phone number** directly from the app **call back**
* option to **download the voicemail** and **save**
