Voicemail: your smart answering machine

The sipgate voicemail: your free smart answering machine with email notifications and transcription.

sipgate Voicemail is nothing other than a free intelligent answering machine for your sipgate phone line. If you cannot take a call at the moment, voicemail comes into play. You have the option of recording a personal announcement or using a standard announcement. Callers then have the option, for the periods set by users, to leave a message. This message is stored as an audio and text file and sent to users by email.

Here you will find an overview of sipgate voicemail functions:

  • Call answering when the phone is offline and/or unavailable

  • Call answering for specific periods and telephone numbers

  • Recording duration of incoming calls of up to two minutes

  • Announcement with or without recording

  • Announcement duration is a maximum of 180 seconds (Click2Record)

  • Can be listened to free of charge from any sipgate line

  • Remote retrieval is possible from any phone

  • Recording personal announcements by phone or by MP3 upload

  • Free notification by email with optional file attachment of the message in MP3 and/or text format

  • Notification of incoming calls by email, SMS or fax

Create voice announcements for users and groups

As a user, you can decide for yourself whether you want the standard announcement to play for incoming calls when you are unavailable, or whether you want to set up a personal voice announcement instead. If you choose your own announcement, you can either record it directly in the account (Click2Record) or upload an MP3 file. To do this, click under Telephony on your voicemail — you can find this at the top under your devices:

You can only change the announcements in Groups as an admin. First click on Groups in the left menu and select the desired group.

Then click the button Voicemail of "group name". Here you can use a dropdown menu to set the desired announcement.

All users have the option to set in personal routing under which conditions voicemail should be activated. To do this, go to the right-hand area of your routing and set the relevant routing rules.

This is how you are notified about incoming voicemails:

You can be notified about incoming voicemails by email or SMS. You can also specify whether individual users or an entire group should be informed. Click under Telephony on the corresponding voicemail and then on email notifications.

For further notifications and filters, click on Notifications. Under Create new filter you can enter which event — a call, voicemail or SMS — you want to be informed about.

In the next step, you set how you want to be notified about the selected event. Either set up email notifications or select SMS notification. In both cases, you must enter in the drop-down menu where the notification should be sent.

Listening to voicemails:

sipgate Voicemail gives you the option of retrieving the messages left from any phone, even outside your account. To do this, you need a PIN, which you can easily set for one or more voicemails.

  • Clicking on the voicemail entry in the event list opens the menu with detailed information about your received messages.

  • Here you can listen to the messages, download them or call the callers back. You will also find the transcript of the message left here, as well as the option to add the callers to your contacts.

Free retrieval via your sipgate phone line:

To listen to your personal voicemail, call the free phone number 55000. Each group voicemail also has its own phone number (e.g. 55004) for retrieval. You can find all information by clicking on the corresponding voicemail under Devices.

You can control voicemail with the following commands:

  • Press 3, to listen to your message

  • Press 4, to delete it

  • Press * button, to go back to the main menu to get there

The PIN:

  • Click on Telephony

  • Click on the corresponding voicemail

  • Under PIN click on the gear icon to enter your personal PIN

  • In addition, you have the option of defining phone numbers that allow retrieval without a PIN as well

  • To do this, click on Listen to voicemail without PIN on the gear icon to store phone numbers.
